Frequently Asked Questions

Can the wedding packages be customized or modified?
You are welcome to add any a-la-carte enhancements to our wedding packages, but you may find that selecting all of your services a-la-carte is more ideal to truly customizing your ideal wedding.

Do you provide other services to coordinate an event such as flowers and decor, photography, transportation, etc?
Yes!  As a full-service resort we have all the resources you could possibly need at your fingertips and one of our expert Wedding Coordinators will assist you with all of your planning needs!

Do you perform ceremonies on the beach?
At this time we do not perform ceremonies or vow renewals on the beach since that is off-property; however, we offer our Sunset Cliff locations as an excellent alternative (we call this our "Love on the Lava").  Please see wedding venue descriptions to learn more about these locations.

Do you allow outside food or beverage?
No, we do not allow food and beverage not provided by our Hotel with the exception of specialty alcohol.  If we are not able to procure the wine, champagne or hard liquor of your choice, you may provide your own for a corkage fee of $15.00 each plus service charge and tax for 750 ml wine and $25.00 each plus service charge and tax for 750 ml champagne or 1 Liter bottle of hard liquor.  Any other sizes are subject to different pricing and all alcohol provided by you must be approved by the Wedding Department.

Are there any special discounts on rooms?
We offer guest room accommodations for you and your guests without you having to obligate to a contract.  After you guarantee your wedding with us, you and your guests would simply call a toll-free phone number provided to you and request the room category you would like.  Please remember that rates are subject to availability and do not imply a block of rooms have been reserved for you.

How do I obtain a marriage license and who makes this appointment?
The Sheraton Keauhou Bay Resort & Spa wedding department will be pleased to arrange your appointment.  Please refer to the “Hawaii Wedding Requirements” section of the website for full details on obtaining your license.

Do you provide a menu tasting?
Should you require a menu tasting as part of your planning, you select your menu from our tempting banquet menu selections.  Taste selections are $25.00 per course per person plus 18% service charge and 4.166% tax.  The menu tasting must occur at least 60 days prior to your event.

What is your service charge?
The Sheraton Keauhou Bay Resort and Spa has an 18% service charge on all food and beverage.

What are your site fees?
Our site fees are as follows:  (Please note that the GET (General Excise Tax) of 4.166% will be added to all site fees).

If you have your ceremony plus reception and /or lunch or dinner with us and you are able to meet a food and beverage minimum that is at least double the value of the location where you would like to hold your event, that site fee may be waived.                                                                                               

What are your cut-off times for your locations?
Our Bayside Wedding Chapel, Lawn, Overlook, Gazebo, Photo Gardens and Sunset Cliff events must conclude by 9:00 p.m.  The Bayview Grounds have a cut-off time of 9:30 p.m; Crystal Blue Terrace, Crystal Blue Point and the Bayview Banquet Room events must conclude by 10:00 p.m and our Keauhou Convention Center can host events until 11:00 p.m.

Are there any other restrictions I should know about?
Our beautiful Bayside Wedding Lawn is not able to accommodate amplified music although acoustic instrumentation is allowed.  If you would like a weekend wedding (Saturday or Sunday), we require you to include catered food and beverage as well. If you are having a ceremony only, Monday through Friday is available.

When will a cost estimate for our event be provided?
Once we have the menu selected, along with any other details for your event, we are able to provide estimated costs.

When is the best time to get married in Hawaii?
Any time is a good time to get married in Hawaii but typically May and June are the busiest months for weddings.  If you want to consider a less busy time when there may be fewer people here, January – March and September – November may be better.

Do you offer discounts depending on time of year or time of day?
Since anytime is a good time to marry in Hawaii, we do not offer discounts.  Weekdays are sometimes less busy so you may want to consider one of those days for your wedding.

When do I need to have all of my choices selected for food, beverage and all vendor services?
As soon as you have decided on the choices for food, beverage, entertainment, flowers, photography, etc, please contact the wedding department so we are able to secure your preferences.   All decisions need to be finalized a minimum of thirty days in advance of the wedding date including all ceremony, reception and dinner details.

Can I ship my dress and other items in advance?
The Sheraton Keauhou Bay Resort & Spa will accept shipment(s) to the Hotel during normal business hours of 8:00 a.m. – 4:00 p.m. Monday through Friday up to one week in advance of the wedding date for a charge of $5.00 per small box and $20.00 per medium box.   (Charges are based on size and/or weight and determined by our Receiving Clerk).  It is highly recommended that a courier company be used to ship the items and insurance and tracking number(s) are obtained.   The shipment must be made to the Hotel as follows:

Is there a ceremony rehearsal?
We recommend a rehearsal in order to become familiar with the aspects of the ceremony for the bride, groom, wedding party and immediate family and your wedding coordinator will schedule this with you approximately 30 days prior to your wedding.  The Officiant will not be present prior to the ceremony unless special arrangements have been made in advance.

How long will you hold space before we have to give a deposit?
We will hold space complimentary for one (1) week.  A $1,500.00 non-refundable deposit is required to secure the space on a definite basis in addition to signing a wedding / catering agreement.

Is the deposit used towards my event?
Yes!  Your entire deposit will go toward the final billing of your event(s).

When are payments due?
We require a non-refundable deposit of $1,500.00 in order to guarantee your date followed by an additional payment due 30 days prior to your event with the final billing due at the conclusion of your event.  The additional payment amount will be specified in your wedding / catering agreement.  Payments may be made by via valid credit card, cashiers check, postal money order, traveler’s check or business or personal check with valid credit card back-up provided.  All funds are to be in U.S. Dollars and drawn from U.S. banking establishments only.

How far in advance do we have to provide the final guest count?
The final guest count will be required by 10 a.m., three (3) days prior to your event and is not subject to reductions.

Will there be a service to assist in the decorating prior to the event?
Yes!  Our banquet staff, wedding department and florist will make certain that the final details are in place prior to the start of your event.

Who do we see for personal assistance in handling our wedding ceremony & reception?
Our Wedding Department includes Natalie Houston, Director of Special Occasions and Wedding Coordinator Laura Graves.  Please contact the hotel at (808) 930-4900 to be directed to the wedding department in order to begin planning the wedding of your dreams!

How far in advance do we need to book?
As soon as you have decided on a specific date and time, please let us know. The earlier you let us know, the better the chances are that we will be able to accommodate your requests.   We can guarantee our Wedding Center space (which includes our Bayside Chapel, Lawn, Overlook, Gazebo and Photo Gardens) and Sunset Cliffs one year in advance of your selected date and 90 days in advance for all of our other locations.

How do we get started?
Weddings may be booked seven days a week, from sunrise to sunset. After deciding on a date and time, contact Sheraton Keauhou Bay Resort & Spa wedding department to check the availability of dates.   A $1,500.00 non-refundable deposit is required to guarantee your date in addition to signing a wedding / catering agreement.
